Job Description

Scope and Purpose

To be responsible under the direction of the Controller to perform a variety of administrative and accounting tasks within the accounting department.


  • Proficient skills at utilizing computer hardware and utilizing Microsoft products including Excel, Word, and Outlook.
  • Proficient at basic office skills including copying, scanning, e-mailing, faxing, and filing.
  • Basic knowledge of accounts payable and accounting spreadsheets.
  • Driver’s license and vehicle needed for occasional errands.

Duties and Responsibilities

  • Assist the accountants and AP Administrators in a variety of tasks as requested.
  • File paid bills and maintain integrity of all AP files.
  • Process checks by matching checks with vendor invoices. This will be under the direction the AP Administrators.
  • Responsible for all mailing activities for accounting department including vendor checks and correspondence and overnight packages (UPS).
  • File cash receipts activity and bank reconciliations in the cash books for all sites.
  • Assist the WC insurance coordinator with the filing and maintenance of the workers compensation insurance binders.
  • Assist the accountants with the maintenance of the Capital Asset binders (7000 accounts).
  • Assist the accountants with the preparation of the quarterly replacement reserve requests.
  • Assist accounts payable administrators with utility bills for house accounts for each property.
  • Assist accounts payable administrators with entering of invoices into accounts payable system.
  • Run errands outside of the office for the accounting department or other departments as needed.
  • Create year accounting files, folders, and boxes

Complete various other clerical tasks as directed by Controller/Accountants/AP Administrators, such as but not limited to data entry, photo copying, faxing, e-mail, filing and organizing
